Getting client approval before invoicing makes the billing process much clearer.

The work has been reviewed.
The client knows what is included.
The amount has been approved.

But there is still one practical step left.

The invoice needs to reach your accounting system.

Without an integration, that usually means copying the details from one place to another. The work may already be organized and approved, but the client, invoice lines, amounts, and dates still need to be recreated manually.

That extra handoff takes time.

And every time the same information is entered twice, there is another chance for something to go wrong.

That is why Otterflow now integrates directly with Billy.

Start here

Make client approvals easier before you bill.

Otterflow keeps work logs, reviews, approvals, and invoices in one simple flow.

From approved work to Billy

The Billy integration connects the client approval workflow in Otterflow with the accounting system where you manage and send your invoices.

The workflow now looks like this:

  1. Create your client and project in Otterflow
  2. Log your hours and other billable work
  3. Turn the work into a clear client review
  4. Send the review and get the client's approval

From there, Otterflow takes over automatically.

As soon as the client approves the review, the invoice is created in Otterflow and a matching invoice draft is created directly in Billy.

You do not need to create the invoice again.
You do not need to copy the invoice lines.
You do not need to trigger another manual step.

The approved work simply becomes an invoice in both systems, ready for you to send and manage from Billy.

Billy remains your accounting system

Otterflow is not trying to replace Billy.

Each product has its own job.

Otterflow handles the work log, the client review, the approval, and the path toward invoicing.

Billy remains the home of the official accounting invoice. That is where you send it, manage it, and handle the accounting around it.

The integration simply connects the two sides.

When Billy assigns the invoice number or the invoice status changes, that information is reflected in Otterflow. When the invoice is registered as paid in Billy, you can also see the updated status in Otterflow.

So you can keep an eye on the full client workflow without maintaining two separate versions of the same invoice.

Less copying and fewer mistakes

Copying an invoice manually does not sound like a big task.

But it is one more thing to remember.

You need to enter the right client.
Copy the right invoice lines.
Check the amounts.
Check the dates.
And make sure the accounting invoice matches what the client approved.

The Billy integration removes that repeated work.

The invoice is created automatically from information that has already been prepared and reviewed in Otterflow. That removes the manual handoff, saves time, and lowers the risk of sending an invoice that does not match the approved work.

It also creates a cleaner connection between the client conversation and the accounting record.

The client approves one clear review.

Billy receives the matching invoice draft.

And you can move on without copying everything again.

Simple to connect

The setup is deliberately light.

You generate an API key in Billy, paste it into Otterflow, and connect the two systems.

There is no separate integration fee. The Billy integration is included with your Otterflow subscription.

This article is not meant to be a technical setup guide. A dedicated guide will walk through the connection step by step.

You can also visit the Otterflow integrations page to see how Billy fits into the wider workflow.

One flow from work to accounting

Otterflow was built around one focused idea:

the client should approve the work before the invoice is sent.

The Billy integration takes that workflow one useful step further.

You log the work.
The client reviews and approves it.
The invoice is automatically created in both Otterflow and Billy.
You send it from your accounting system.
And the status stays connected as the invoice moves toward payment.

No duplicate invoice entry.

No unnecessary copy-paste.

No separate integration charge.

Just a cleaner handoff from completed work to client approval, invoicing, and accounting.
