Create a rate in Otterflow, step by step
This text version explains how reusable hourly rates work, especially the currency rule that controls where each rate can be used.
Step 1
Open Settings
Open the profile or account menu and go to Settings. Rates live in Settings because they are reusable billing defaults, not one-off work log entries.
Step 2
Open the Rates tab
Open the Rates tab. This is where reusable hourly rates are listed, created, edited, archived, and selected later by matching-currency projects and work entries.
Step 3
Start a new rate
Choose New rate to open the rate form. A rate is a reusable hourly price that can be assigned to hourly projects and work entries. It should represent a service category you use repeatedly, such as design, development, strategy, support, or consulting.
Step 4
Name the rate
Give the rate a clear name. The name should be easy to recognize when choosing a default project rate or logging work. A practical rate name is usually the service type, not the client name, because the same rate can be reused across multiple clients with the same currency.
Step 5
Choose the currency
Choose the rate currency carefully. Rates can only be used with clients and projects that use the same currency. If you bill one client in EUR and another in USD, create separate rates in each currency instead of trying to reuse one rate across both billing currencies.
Step 6
Set the hourly price
Enter the hourly price in the selected currency. When the rate is used for hourly work, Otterflow uses the hours and the rate price to calculate the billable amount. Logged work keeps the relevant billing information for the workflow it moves through.
Step 7
Add optional context
Add an optional description if the rate needs private context, such as what is included in the service or when the rate should be used. The description helps internal selection; it is not required to create the rate.
Step 8
Save and reuse the rate
Save the form to create the rate. After it exists, the rate becomes available for hourly projects and work entries that use the same currency. If you stop using a rate, archive it so it no longer appears as an active option while existing records remain understandable.
